My Letters is a company based in Worcester with regional directors to deal with the promotion and help of this service. They have been set up for this purpose only. The board of directors and the regional directors have over 50 years experience in business from administration to sales and marketing.
We specialise in Medical Transcription for NHS Hospitals - Private Hospitals - GP Practices - Private Medical Consultants. The problem:-
In June 2003 the Surgery in Bromsgrove had a problem. With the expansion of the practice, the secretaries did not have enough time to both manage the administrative demands of the busy surgery, as well as the daily routine task of typing the referral letters. Budget constraints meant that increasing secretarial hours was not an option.
The solution:-
One of the GP partners, Dr ******, approached medical typing provider, and asked them to take over the typing of all referral letters.
Result:-
Referral letters are now dictated by GPs and uploaded immediately by simply connecting their Philips digital Pocket memo's to a PC. Trained medical typists automatically receive the dictations prioritised according to return time. The work is typed, then checked twice by other typists, and returned to the Practice secretary.
Patient confidentiality:-
Dictations sent out of the practice are anonymised and only identifiable to a specific patient by the practice with reference to the unique patient ID number. The patient's details; name, address are then added on return of the document back in the practice
Savings:-
Using the service to type referral letters takes pressure off the Practice secretaries by removing a routine but time consuming task. Each letter takes just a few seconds to complete. This has enabled the Surgery to routinely send letters out the next day after dictation. Because of the size of the infrastructure, they can accommodate the variation in workload that occurs in a GP surgery. Dr ******* says 'It avoids the problem of backlogs of letters and the reliance on temporary staff when secretaries are away'. It also provides a continuous service, which is particularly important in a small organisation where absences by a few critical staff can cause disruption to the normal functioning of the practice. The charges of a fee per line, which includes excellent support from the Customer Services Department. There are no hidden software or maintenance costs.

Private Consultant - London
CASE
Our client is a private medical consultant working in three hospitals in Central and West London. She has a private office and uses a patient record database.
PROBLEM
The consultant was using voice recognition software to transcribe letters. She dictated using a noise-cancelling headset using either her PC or laptop. Accuracy was good in the quiet environment of her office but not good in air-conditioned consulting rooms with lots of ambient noise. It was possible to use a digital dictation machine with the voice recognition software although she did not use this. She spent time editing to correct inaccuracies in the voice recognition process. She was fairly happy with the arrangement, but interested to see if there was a better way of working.
SOLUTION
The consultant started to use My Letters' service by dictating over a telephone. She picked the dictated jobs up from our web site and cut and pasted the letters into her patient records database. The accuracy levels were 99 - 100%. This was a considerable improvement on the existing process. Our transcription service is the best she has come across. The letters are typed, checked twice and receive a third check by a person whose native language is English.
She has since obtained a Philips Digital Dictaphone. This enables her to record all her letters on to a hand held device. She then simply connects the Dictaphone to the USB port on her PC and the jobs are automatically uploaded to My Letters' server. Again accurately typed letters can be cut and pasted from our web site into patient records. Turnaround time is important to this client. We are able to return letters, checked for accuracy, within 48 hours of dictation.
The doctor has found it very helpful to be able to contact our customer service department to assist with the set up. She values being able to get through to people who can provide a personal service. When a letter is particularly urgent she can call and have it prioritised for return within a few hours of dictation.
