A - You can register on line, or you can make an appointment to see your local regional director who will help you to identify a bespoke dictation solution
Q – How does it work
A - Documents are dictated via the telephone or a digital pocket memo. Typed documents are downloaded later via secure web based software
Q – Why should I use the service
A – To save time and money for you and your business

A – Any one who needs to type letters
Q- What is the response time
A – Up to 4 hours or up to 24 hours
Q – When should I use the service
A - Whenever you want. The servers are ready 24/7 and our transcription service (typing pool) is 24/7 as well. You are not tied to daytime use.
Q – How can I be sure the transcription will be accurate
A – With vast experience in dealing with medical dictation and long complex legal letters and reports. Therefore with good dictation we can be accurate
Q – Can My Letters produce letters in foreign languages
A – At the moment it is only transcription in English
Q –I edit my letters a lot to get them right
A – We transcribe what you dictate, you can change the content once you download you file.

Q – What equipment do I need
A - For users who prefer to dictate over the phone, none. For Dictaphone users a Philips digital pocket memo is recommended, which can be purchased at a heavily discounted price of £200 from My Letters together with an introductory offer of upto 400 free lines of digital dictation / transcription
Using Your Account:
Q – It sounds like a lot of fiddling about
A - It is less complicated than using the services in a mobile phone
Q – How easy is it to use
A – The system has been design for simplicity of service and is very easy to use and understand
Q - Does My Letters process spreadsheets
A – No we do not, just normal dictation
Q – When do I get my documents back
A – You can collect your letters /documents whenever you want and at any time of day.
Q – How can we prioritize work i.e. occasionally we need a very fast production – what can My Letters do
A – A letter can be prioritised by a call to support and the letter /document can be put to the front of the queue to be the next letter in turn to be typed.
Billing Information:
Q – How long am I tied into the service
A – It is a “Pay as You Go “ service – you are not tied into any long term contract.
Q – How much does it cost
A - Dictation, without transcription, costs as little as 3.5p per line. A full transcription service guaranteed within 24 hours costs only 12p per line and the 4-hour priority service can be specified for an extra 3p per line
Q – How do I pay
A - Payment is on a pay as you go basis, topped up through a fully refundable deposit
Q – How do you keep your prices so low
A - As we use the latest technology and to date almost 3,000 dictation a day in the UK are done and in volume we can pass the savings onto our new users
Q – What is the difference in cost between uploading by Dictaphone and dictating directly to the server
A – The difference is the cost of a phone call
Q – Account paid in advance why
A – It is like a pay-as-you-go mobile 'phone
Q – Any Standing charge
A – None at all – pay as you go service
Q – Minimum usage to keep the service
A – none at all.
Security
Q – Is it secure
A - Dictated messages are encrypted in a similar manner to credit card payments. Thus, unlike email based processes, the service is highly confidential and secure
Q – How do you ensure security
A – We do not store any personal information but all information passed over the Internet is SSL – 128-bit encryption
Q – Where is my info stored
A – On secure servers – conforming to the UK Data protection ACT.

Q – Who are My Letters
A - A company based in Droitwich with regional directors to deal with the promotion and help of this service. They have been set up for this purpose only. The board or directors and the regional directors have over 50 years experience in business from administration to sales and marketing.
Q – Where are you based
A – Head Office is situated in Worcestershire with regional offices throughout the UK
Q – If I have a complaint, how will it be handled
A - All complaints are handled by head office and must be in writing.
Known Problems:
Q – When I go to download my RTF file is says that I need to log on, but I am already logged on
A - This is due to having an old version of Word your laptop / pc. This is a documented Microsoft bug. In order to resolve the issue you will need to update your version of Word. Service pack or patch update or newer version of MS Word
